2006 HTNB Annual General Meeting Minutes

Meeting called to order by Donna-Lee Cole at 12:15

Welcome from Donna Lee Cole

Donna Lee began the meeting by thanking everyone for their support of HTNB over this past year and how much everyone in the executive appreciated the attendance at this AGM. She then turned the floor over to the various Board Members for their reports on what they have been doing over the past year.

Treasurer's Report

Jen Jameal gave the treasurers report. She spoke at length concerning the insurance costs for the coverage we receive and the likelihood of further increases for the upcoming year. Reflected that HTNB incurred losses from the hosting of the National Technical Deligates Clinic held in NB this past summer and from the hosting of the Levi Dollars Working Clinic at Rohirrim Farm in the fall of 2005. Despite these losses, due to the ticket sales for the painting and the silent auction held at the NBEA AGM, we had a net profit for 2005 of $2400. This gives us enough excess funds to start a Young Riders Program for HTNB members 21 and under and funds to sponsor the farms for $500 each to be used to construct a portable cross-country fence with a plaque stating Sponsored by HTNB.

HTNB Constitution

Darrel Pyke was then asked to give a brief summary regarding the writing of the HTNB Constitution and the reasons for requiring a organization structure document. He spoke to the concerns for liability regarding the directors with and without incorporation and that we needed a constitution to acquire incorporation. He also spoke to the future request we will be making to have our association registered as a not-for profit organization in order to encourage increased sponsorship and private donations. We can give receipts to these donors, if we are a not-for profit association, and these donated funds can be claimed on the donors income taxes.

Young Riders Program

Jen Jameal and Donna Lee Cole spoke regarding the formation of a Young Riders Program for the upcoming season. A handout was presented to the members in attendance and a short description was done to explain the outline of the program. It was explained that the Young Riders for HTNB will be seen as the "ambassadors" of our sport to the general public and as a group will be expected to give a presentation to the HTNB AGM each year telling us what they have done for the sport in general and for HTNB in particular.

Bare Fearann Developments

Lori Leach spoke to the construction of hers and Jeffs' cross-country course at Brae Ferran Farm and what events she and Jeff were planning to hold in the upcoming year. They have spoken to and booked Rebecca Howard, on behalf of HTNB, for a LDW Clinic (levi dollars working clinic) to be held on the July long weekend. Rebecca has generously donated 2 days at $300/day for the clinic instead of her usual $500. Lori also explained that she had to change the date of her inaugural event as the original date coincided with the Harvey Days Parade when they will have the road closed for 2-3 hours preventing horse trailers from traveling through the town to her venue.

Updates and Changes

Donna Lee Cole then spoke to the events during the past year and some of the changes we will see during the upcoming year.

  • Awards Criteria
    Need to change the Awards criterion to make the achievement actually mean something. The Award of merit has been dropped and there will be 2 classes in future, Award of Distinction and Award of Excellence. The criterion were discussed and the final criterion for 2006 will be posted on the Web Site.
  • Most Promising Young Horse Award
    Spoke to the recipient of the "Most Promising Young Horse Award" for 2005 which was Donna Lee Coles horse Draven on how the award had been conceived.
  • National Technical Delegates Clinic
    Spoke regarding the National Technical Delegates Clinic held this year and expressed the appreciation that the attendees had for the clinicians knowledge and expertise when it came to organizing and putting on a horse trial and the deep understanding necessary of each phase of the sport when the officals are inspecting the course and the grounds and the facilities.
  • Painting Raffle
    Painting raffle was won by a Saint John native Marion Morrison. The painting is now complete and will be presented to her in the near future.
  • Silent Auction
    The "Silent Auction" generated $816 which was displayed at the NBEA AGM. Thanked the NBEA for allowing us to hold this auction in conjunction with their AGM as the HTNB AGM, scheduled in October, had to be cancelled due to a great number of conflicts with other events going on at the time.
  • Portal Cross Country Fences
    HTNB gave a donation, in the form of a cheque, of $500 to each of the 4 farms to allow them to construct a portable cross-country fence sponsored by HTNB.
  • Competition Levels
    Spoke to the changes to the names of the competition levels, mandated by Canada Eventing, to address the levels below Pre-Training. The new division is to be called Entry with a group of criterion for the fence heights and spreads to be included in the 2007 reissue of the Rule Book. Mike Gallagher stated that people competing in New Brunswick will see no changes in the fence heights and styles as nearly all the obstacles on the courses in the province meet the new criterion.
  • NBEA Board of Directors
    Spoke to the changes made to the Board of Directors of the NBEA (New Brunswick Equestrian Association) for 2006 based on the elections held at their AGM. HTNB has made an application to this Association to receive funding to send a team to Bromont for the fall horse trials.

Nominations for the HTNB Directors were then opened to the floor:

  • Amanda Frenette nominated by Jen Jameal, seconded by Donna Lee Cole (Amanda was not present but had previously stated to Jen Jameal that she would stand as a director)
  • Pam Hallihan nominated by Donna Lee Cole, seconded by Darrel Pyke
  • Donna Lee Cole nominated by Darrel Pyke, seconded by Jeff Carter
  • Jeff Carter nominated by Donna Lee Cole, seconded by Judith House
  • Susan Pyke nominated by Jen Jameal, seconded by Zoe Erickson-meesters

Call for nominations was ended by Donna Lee Cole. Approval of the elections was by show of hands and Vivian DeMerchant moved that the elections of the above members be approved. Seconded by Donna Lee Cole.
